Privacy policy
Last updated: 6 October 2026
This policy explains how personal data is handled on the website vectorfwd.com. Velence Holding B.V., trading as VectorFwd ("we", "us"), runs this website. We're a private limited company under Dutch law with our registered office in Amstelveen, the Netherlands, registered with the Dutch Chamber of Commerce (KvK) under number 87636255. For the data described here, we're responsible (we are the "controller"). This policy describes how the website is set up now. If that changes, we update this policy.
If you use Vector Pulse at work
This policy covers the website only. The Vector Pulse app has its own privacy policy, which you can read in the app. In the app, your organization is responsible for your data and we process it on its behalf. The privacy points on our homepage are a short summary; the app's policy is what applies.
Questions about your survey answers or your account in the app are best sent to your organization. If you send them to us, we'll help where we can, but we may refer you to your organization.
When you visit the website
- The website doesn't use cookies, analytics, advertising or tracking.
- Fonts, images and scripts come from our own website. The pages don't load anything from other parties, such as Google Fonts or social media.
- To deliver the pages and keep the website secure, our hosting and network suppliers process technical data about each visit: your IP address, the page you request, the time, and what your browser sends along, such as its type and language setting. This can end up in server and security logs.
- The start page sends you to the Dutch or English version based on your browser's language setting. The choice isn't stored.
When you contact us
- You can reach us through the contact form or by email at info@vectorfwd.com. We then process what you send: your name, organization, email address and message, plus anything else you include, such as the details in your email signature.
- We use this to answer you and, if you'd like, to talk about whether Vector Pulse fits your organization and to set up a conversation or a trial.
- If we stay in touch, we keep a record of that contact, such as our emails and notes from conversations.
- We don't add you to a mailing list, and we don't use your details for newsletters or advertising.
- Contacting us is voluntary. We need your email address to be able to reply.
Don't send us private information
The form and our email are meant for questions about Vector Pulse. Please don't send us private or sensitive information about yourself or anyone else, such as:
- health, including mental health;
- religion or beliefs, political opinions, trade union membership or sexual orientation;
- criminal matters, financial details or identification numbers;
- complaints or personal details about individual colleagues.
If you have a concern about your own work or wellbeing, contact your employer's HR, your company doctor or another suitable channel. We can't handle these matters for your organization. If you send us this kind of information anyway, we may delete it.
Our reasons and legal basis
- Running the website. Delivering the pages and protecting the website against attacks and misuse. Basis: our legitimate interest in a website that works and is secure.
- Answering you. Replying to your message and staying in touch about it. Basis: our legitimate interest in responding to people who contact us and talking with organizations interested in Vector Pulse. If you contact us on behalf of an organization that wants to start using Vector Pulse, it's also needed to take steps toward an agreement.
- Legal obligations and claims. Keeping records where the law requires it, and where needed to establish, exercise or defend legal claims.
We don't ask for your consent, because the website doesn't do anything that needs it. We don't make decisions about you by automated means that have legal or similarly significant effects for you.
Where your data goes
We use these suppliers to run the website and handle your messages:
- Cloudflare, for hosting, networking, DNS and security. The website runs on its network, and all traffic to and from the website passes through it, including what you enter in the contact form. That network may be outside the EU.
- Postmark, for email. It delivers messages from the contact form to our mailbox and processes their content. It may be outside the EU.
- Our email provider, for our mailbox. It stores the messages you send us and our replies.
These suppliers process data on our instructions. We may add or change suppliers. Where data goes outside the EU, this is based on the safeguards the GDPR allows, such as an adequacy decision or standard contractual clauses. You can ask us which safeguard applies.
We don't sell your data, and we don't share it with others for their own purposes, such as advertising. We may have to disclose data where the law requires it.
How long it is kept
- Your messages and contact details are kept while we're in touch about your question or a possible collaboration. If that contact ends without an agreement, we delete them once we no longer need them.
- If your organization becomes a customer, the contact details needed for the agreement are kept for as long as it runs. Contract and invoicing records are kept for as long as Dutch law requires, usually 7 years.
- Technical data and logs are kept for a short time by us and our suppliers, according to their own retention periods. They may be kept longer when needed to investigate a security incident.
You can ask us to delete your data sooner by emailing support@vectorfwd.com. Data in backups is removed as the backups expire. Data may also be kept where the law requires it.
Your rights
Under the GDPR you have the right to:
- access the data we hold about you and get a copy;
- have it corrected or deleted;
- have its processing restricted;
- object to processing based on our legitimate interest;
- receive it in a format you can take elsewhere, where that right applies.
Send your request to support@vectorfwd.com. We may ask you to confirm who you are first. We answer within one month; if a request is complex, we may need longer and will tell you why.
You can also complain to a data protection authority. In the Netherlands that's the Autoriteit Persoonsgegevens. You can also go to the authority in the country where you live or work.
For data in the Vector Pulse app, see If you use Vector Pulse at work above.
Changes to this policy
We change this policy when the website, our suppliers or the law change. The date at the top shows when it was last updated.
